Evaluate one drawing through to handover
Choose a representative PDF rather than the smallest file available. Include the kind of linework, notes, page size and scan quality you actually receive. Add a few normal review comments, edit their properties and find them again through the markup list. Judge readability at the zoom levels you use during a real review.
If quantities matter, calibrate against a known dimension and check a second one. Measure one representative length, area and count, then inspect the export. OpenBeam’s current spreadsheet export records formatted measurement labels, so prepare verified numeric quantities and units in your estimating workbook before using them in calculations.
If revision review matters, use two matching source issues and inspect the detected changes. Record whether page alignment, cropping or scan quality affects the result. Keep the original PDFs and save the comparison output separately so the review can be reproduced.
Check the files in the recipient’s workflow
Reopen the saved PDF in the viewer your team uses and inspect the annotations, page order and readability. Send an agreed sample through the normal review process before adopting a new tool across the project. Standard PDF annotations help file exchange, but project-specific statuses, custom tools and collaboration systems still need their own check.
Treat the spreadsheet export as part of that handover. Make sure subjects, comments, measurement labels and source-page references remain useful once the file leaves the application. A tool fits the job when the next person can use the result without reconstructing your work.
